OFFICE MANAGER & DUTIES

  • Monitor hourly & daily office workloads per employee.
  • Manage our VPMS (Vurtur Project Management System) for milestone and reporting billables as well employee timesheets weekly.
  • Host daily production meeting, and weekly overview meeting.
  • Assist in proposal estimating and writing, as well as assisting the sales team in meetings.
  • Manage internal Marketing initiatives.
  • Review and Track analytics for client hosted sites.

PRODUCT MANAGER & TRAINER

  • You will be required to learn most of our OpenSource Products, and manage manuals from a User/Admin role. Joomla, Plone and SugarCRM… along with all their 3rd party plug-ins.
  • Training and Supporting our clients/users for product demos, roll-out training, and user assistance/support.

SERVICING CLIENTS AND MANAGING THE PROCESS

  • Overseeing the opening of all job dockets. (Web/Programming/Print Brokering/Design/Consulting)
  • Evaluation and building of Work Breakdown Structure (WBS)  execution needs.
  • Preparation of production plans and timelines for execution.
  • Sourcing, analysis and selection of any third-party suppliers.
  • Coordinating the quotation of cost elements internal and external, and preparing initial program budgets and timelines.

COST CONTROL AND REVENUE DELIVERY
Working with Client Service, Production and Finance to maintain control of all costs related to any/all assigned projects.

  • Ensuring that all costs are docketed on a current basis.
  • Delivering projected revenue forecasts against assigned projects.
  • Managing costs to maintain profitability.

TECHNICAL & EXECUTIONAL KNOWLEDGE DEVELOPMENT
Under the direction of the Director, Client Services continue to learn in depth about client and discipline specific executional elements, tactical processes and technical advancement.

  • Developing and maintaining detailed client specific executional Process Manuals.
  • Maintaining an executional data bank of key suppliers, costs and volume price breaks relating to any/all relevant specializations.
  • Attend relevant industry expositions, seminars and courses from time to time.

REQUIREMENTS INCLUDE BUT NOT LIMITED TO THE FOLLOWING:

  • Must have 5-7 years of proven track record of sales/business development success.
  • Have agency / studio experience, to be able to enter our market place with contacts in place.
  • Should be assertive, high energy, independent, self-motivated, results oriented and possess a strong sense of urgency.
  • Demonstrated ability in problem solving and negotiation with special emphasis on closing the sale and wrapping up the projects.
  • Exceptional organizational and time management skills with the ability to multi-task in a deadline driven environment.
  • Ability to manage others
  • Excellent verbal and written communication skills including formal presentations before both small and large groups.
  • Strong understanding of printing industry and web design industry
  • Bilingual (French and English)
  • Ability to be fun to be around ;)
